Less retyping and a clear exception queue

Invoice and document workflow automation

The system receives documents from email or a selected folder, reads the required data, applies business rules and sends the invoice to the right person or application. Employees handle exceptions instead of processing every document manually.

Where do document workflows usually get stuck?

Documents arrive through different channels

Invoices are scattered across inboxes, attachments, folders and messages sent to individual employees.

The same data is entered several times

Invoice number, supplier, amount and due date are copied from PDF to a spreadsheet, ERP or accounting system.

Exceptions are mixed with valid documents

A missing purchase order, duplicate or mismatched amount needs a decision but should not block the entire queue.

From source to a usable output

  1. Input01

    Email, folder or form

PDF, scan, photograph or electronically generated document.

  2. Control02

    Extraction and business rules

Fields, duplicates, purchase orders, limits and approval paths.

  3. Output03

    ERP, accounting and archive

Stored data, process status and an operator exception queue.

What the implementation changes

One structured intake process

Documents from different sources enter the same workflow and receive a clear status.

Automatic handling of standard cases

Valid invoices continue through the process while people receive only the items that need a decision.

A history of every operation

What the scope may include

  • document collection from email, folders or forms
  • data extraction from PDFs, scans and photographs
  • identification of suppliers, invoice numbers, amounts and due dates
  • duplicate detection and required-field validation
  • comparison with purchase orders or other source documents
  • multi-stage approvals and reminders
  • integration with ERP, accounting or document repositories
  • exception queues, logs and process reports

How we launch the first stage

  1. 01

    Current workflow map

We document sources, fields, decisions, exceptions and the systems used by the team.

  2. 02

    First document type

We start with a representative invoice group and clearly defined validation rules.

  3. 03

    Parallel test

We compare automation output with the existing process without risking lost documents.

  4. 04

    Integration and scope expansion

Once quality is confirmed, we connect the destination system and add further document variants.

Frequently asked questions

Can the automation process scanned invoices?

Yes, when image quality allows the document to be read. For weaker scans, the system should flag uncertain fields for review instead of guessing a value.

Can each invoice follow a different approval path?

Yes. The path can depend on supplier, department, amount, project or cost centre. We define the rules from the existing workflow and its exceptions.

Do we have to integrate with ERP immediately?

No. A first stage can end with a report or structured review queue. ERP integration is best added after extraction quality and business rules have been confirmed.
